Quick! Recall that email message

Find more "Oops" images on Office.com/imagesIt happens. You made a mistake.

How do you "take back" or recall an Outlook email message that you already sent? How do you recall a message and replace it with another one? Go to your Outlook Sent Items folder first, and then recall that message! Quickly!

Here's how:

Recall a message in Outlook 2003

Recall a message in Outlook 2007

Recall a message in Outlook 2010

Can't find Recall This Message?

You can recall messages only when you have a Microsoft Exchange account, and the recipient of your message is also using an Exchange account. If you don't see Recall This Message on the Outlook  Actions menu, you can't recall messages. The option to recall a message is not available if you're using a POP3, IMAP, or HTTP email account (for example, MSN Hotmail).

  • Here's a way to give yourself a minute to stop any email from being sent, without rushing to recall it.

I created a rule with the name "Delay 1 min before sending emails".

In Word 2007, set the rule with this description:

Apply this rule after I send the message

    defer delivery by 1 minutes

except if assigned to SendNow category

This will delay sending of any email you write by 1 minute, unless you categorize it with the label "SendNow".

Of course, you can change the time delay to be longer or shorter, change the category name and color, and make all sorts of other modifications to the rule.

Hope this helps - it's helped me numerous times! :)

  • Gil, This is an amazing tip. Thank you!

  • The recommendations are incorrect for Outlook 2010. there is no mail tab or action choice.

  • This is a great tip David.  My other favorite for these situations is to allow messages to stew in the Outbox for 10 minutes before actually being sent, because it's always right after I hit the Send button that I think of the things that I really needed to say (or attach!).

As you probably know, to wait 10 or maybe 30 minutes after hitting the Send button simply go to Tools...Options...and uncheck the button that says "Send immediately when connected".  It works for me; at least for those times that I've actually hit Send too quickly.  :)
