Include your signature in email or documents

Outlook signatureYour correspondence is electronic now, but a signature personalizes even electronic email and documents. Many of you are asking about how to include signatures in Outlook email and in Word documents. You can find instructions for creating signatures at Office.com, but for easy reference, we've rounded up the top resources for learning how to get the job done.

Outlook Signatures

Outlook email signatures can be as simple as a single line with your printed name that appears at the bottom of every email message you send, or an image of your handwritten signature, a graphic, or a business card with all of your contact information.

  • I have many images and clip art saved in Microsoft Office Picture Manager.  I want to format some of them.  Neither Picture Manager or Paint seem to have the formatting capabilities as Word.  How do I format in Word and save as a jpg, gif, etc. so the picture can be used as a stand alone on any document.  Trial and error have not worked this time!

    Picture Manager and Paint are definitely better image formatting tools than Word. If you can tell me what you're trying to do, I might be able to give you a more complete answer to your question.

  • Perhaps I need to learn more about Picture and Paint.  But, here goes!  I posted some staff photographs and clip art to our SharePoint site.  There are the typical, boring rectangular photos and flat clip art.  Am looking for a softer look for the photographs using something like "soft edge oval" or the like in Word.  Want to format clipart in a similar way.  Also would be great to convert several formatted clip art images into one image (a collage of sorts).  Overlaying is a great tool.  I can do most of this in Word.  Once I have the image the way I want it in Word, how do I save it as a picture file for insertion in SharePoint or another document.  Or, do I need to learn tons more about Picture and Paint?  Hope this is clear  enough.  Thanks so much.  Nic

  • Hi Nic,

    You can only save photos that you've changed in Word as .doc or .docx files, because that's the file format that Word uses. To save your photos as images to insert in multiple documents or in other programs, you need to use a program (like Picture Manager or Paint) that allows you to save as a .png or a .jpeg.

  • Figured it was time I quit beating my head against the wall!  Where in Paint or Picture Manager do I find the formatting options like soft edge oval, beveling, shadowing, glowing and the ability to combine images and save as one image.  Thanks again.  Nic

  • I don't think Picture Manager or Paint has those options. You can create documents with the picture effects that you want and save those for distribution. And there are probably specialty programs that would have the effects you are looking for ...

    I imagine it's possible to copy your Outlook signature ... as much as it is possible to copy a signature from anywhere. You might consider using a handwritten email signature only for email to trusted sources, and choose an alternate email "signature" (i.e. not handwritten) for other email needs.

    The signature in your Outlook email is secure in the sense that Outlook is secure, but please use your best judgement and be vigilant.
