Headers and footers and page numbers, oh my!

It can feel a little bit like lions and tigers and bears--do you want a page number in a lower corner, or do you want a page number and the document title? Do you want to add the author name or the file path? Do you want different headers and footers in different sections?

Oh my is right!

This is where a little planning in advance can save you time on the long road.

The trick is to decide what you want first, and then it will be easier to get what you want.
Question: which header or footer to use
 
In Word, page numbers and headers and footers look like the same thing, but they aren't. You can quickly add a header and footer from the gallery that already has a page number. That works. Or you can add just a page number from the gallery. That works, too.

But if you want add a different header or footer, such as your name and the title of your document, and then you add a page number later, the page number might overwrite your previous header and footer. It might not be pretty.

If you want other information in the header or footer, and you don't see a match in the Header gallery or the Footer gallery, click one of the Blank options, or click Edit Header or Edit Footer.

You can add information by typing it in, or you can add fields, such as Title or Author or FileName, by clicking the Insert tab, clicking Quick Parts, and then clicking Field.

  • Help!   I have a header and footer for a 2 page resume.  The first page header is different than the 2nd, and I have that selected.  Everything is fine, except that the 2nd page header is a tad bit higher than the 1st page, even though they are in the same spot in the layout.  Also, the page numbers in the footers are visibly different, in that the 2nd page number is an entire space lower than the first, and no matter what setting I change, they keep their differences and move up or down together.  I'm about to pull my hair out!

    Ouch! I hope you don't pull your hair out!

    Quick questions:

    1. Did you use the galleries to add your headers and footers?

    2. Did you use multiple gallery choices (for example, one gallery option to add your name, and then a different gallery option to add the page number)?

    Galleries work best if you can use one option for the whole header or the whole footer. Otherwise, you're best off creating a custom header or footer and using field codes for the page number.

  • I have Microsoft Office Home and Student 2010 version, but cannot get the gallery to come up to get a page number. When I push the page number button or whatever you call it on my document it says no online content available or uploading, but nothing ever happens. What can I do? I have Windows 7.

  • Is there a way for the software to calculate Page X of Y accurately if you choose to not number the first page?  So, I have a 5 page document, and actually want it to number from page 2 on, showing 1 of 4, 2 of 4, etc.  Or do you just need to manually change the "Y"?

    The fastest, easiest way to do this would be to insert a section break after your first page, and then use the SECTIONPAGES field as your Y value, so you'd have page {PAGE} of {SECTIONPAGES} pages.

    Microsoft is a bunch of greedy morons. I refer to all thier software, in this case no way to delete a document map heading without also deleting all the text. IF FEEL I WAS ROIPPED OFF AGAIN buying word 2010. AFTER 15 YEARS THEY STILL CAN'T MAKE IT WORK WITHOUT LOSING DATA. ETERNAL SHAME ON ALL MICROSOFT.

    Thank you for your comment, and I'm sorry for your frustration and data loss. The Navigation Pane works more like an outline view, so that you can more a heading and text together when you're reorganizing your document. But that same association means that deleting a heading in the Navigation Pane will also remove its associated body text.

    I'm creating a manual and have set up many different sections with sections breaks because some of the sections have internal page numbering in the footer. I would like to create a page number in the upper outside corner of a header with a running page number for the entire document. (Ex, page 1 of section 5 is page 25 of the entire document.) I've tried to add a page number in the header with the sections linked, but it changes the page number in the footers in the sections.

    You can link or unlink footers independently of headers. Make sure that your footers are not linked and that your headers are linked, and that should work.

  • Hello there! I'd just like to ask if I can have page numbers both on the header and footer but different starting value. Specifically, I want the page number on the header to begin at 678 and the footer at 1. Is that possible?

    Theoretically, it seems like this should be possible, but it isn't working for me. I'll check into it some more (I'm betting on some sort of field code solution). I also recommend trying http://answers.microsoft.com.

    After further investigation, I've learned that it isn't possible to add different page numbers in the header and footers. I tried to emulate a page number by adding another field to see whether it would then number sequentially, but that didn't work.

    Type the title, or use the title field, and then use the {PAGE} field.
