• What’s your “favorite” flag?
Do you use flags when you need a reminder to follow up on something…tomorrow? This week? Next week? Well, perhaps you don’t have a “favorite,” but if you find yourself reaching for the flag menu frequently and choosing one flag more than others, then a Quick Click Flag can help you cut down on clicks and keep breezing through your messages, tasks, or whatever else you may be working with in Outlook. You click once in the Flag Status column and the flag of your choice is assigned to that message,...

  • Sharing a calendar via email
Did you know that you can easily create and share calendars with others in Outlook 2007? This is something that I do in my everyday life, and honestly, I don’t know how I ever managed without it! I am an avid cyclist and like to participate in and watch bike races. Before Outlook 2007 it was always a challenge keeping track of these events. I wanted to be able to keep my recreational cycling in a separate calendar as well as share it with my friends and family. To complicate issues even further,...
  • Living in Outlook: Multi-Day Calendar Views
The Living in Outlook series is about sharing tips and workflows around real-world scenarios. We’ll start the conversation with a topic – you can add to it by posting your tips and workflows in the comments! Most of the time, I keep my Outlook Calendar in week view so that I can quickly glance at my schedule. Unfortunately, this isn’t very useful around the end of the week when I really want to see the beginning of next week as well: For example, next week I have an important meeting on Monday –...
  • Sending screenshots
Last week, as I was shopping on the Internet, I saw a shirt that I thought would be really great for my Dad’s birthday. Before ordering the shirt, I ran it by my Mom, just in case she had any other recommendations. So how did I get my Mom’s feedback? Usually, I just send her a link to the Web site and ask her to take a look. Recently, instead of sending her a link, I have been using the new Screenshot feature in Outlook 2010. When I’m writing my e-mail message to my Mom, I go to the Insert tab, click...

If you are a heavy email user like me, chances are good that you subscribe to a lot of mailing lists. Unsolicited spam is one issue we battle in our inboxes, but perhaps more perplexing is the amount of email messages that we call “graymail.” Graymail consists of all those newsletters and notifications that can be useful, but aren’t necessarily what you you want at the top of your Inbox. The Rules feature in Outlook 2010 makes it easy to sort emails that need your attention from the graymail ones that don't. This post shows you how.
