Today’s blog post is authored by Mark Dussy, Senior Manager of Global Technology at DORMA, sharing how Office 365 is helping DORMA to achieve its goal of being a connected and productive global workforce.
DORMA is the trusted global partner for premium access solutions and services enabling better buildings. With over 100 years of tradition behind it, the company creates holistic solutions for the opening and closing of doors-from hinges, handles, locks, cylinders and floor springs to automatic door operators and attendance and access control systems. We also offer horizontal sliding wall installations. In fiscal year 2011-2012, the DORMA Group generated sales of 1,001.8 million euros. Headquartered in Ennepetal, Germany, our company has a true international reach with operations in more than 50 countries and a global workforce of 7,000 employees.
Until recently, we had a decentralized IT model that required us to manage multiple technology platforms, including a complex email routing environment based primarily on Lotus Notes, combined with Microsoft Exchange on premise. In addition to Lotus Notes and Exchange, employees worldwide were using up to 30 different non-integrated email systems and separate servers to manage anti-virus and anti-spam software. All of this was time-consuming and inefficient to manage.
Office 365 = Reduced Costs + Improved Productivity
As we grew, we wanted to establish a unified communication platform that could support real-time collaboration critical to the success of a global company. We also needed a platform that could quickly scale and adapt with the addition of new users and locations. We chose Microsoft because we wanted to work with a company that would be a strategic partner. Our workforce is familiar with Office and likes the capabilities it offers, and we knew we could seamlessly integrate Office with our other existing business applications.
We considered implementing Office on-premises, but instead decided upon Microsoft Office 365 because we knew we could deploy it quickly and at low cost. Storing information in the cloud also provided our mobile workforce with access to email and applications we use every day like Word, Excel, and PowerPoint from any location on nearly any device. With the help of Microsoft’s Cloud Vantage Services, we’ve moved nearly 1,000 employees to Office 365. They provided valuable guidance and ensured the right steps were taken for our successful deployment. With the help of Cloud Vantage Services, our plan is to migrate most of our company employees by June 2014.
By moving to Office 365, we anticipate saving 150,000 euros in licensing, hardware, and storage expenses. From an operating perspective, we’ve reduced the time and cost needed to maintain our legacy systems. At the same time, IT administrators can now easily access Office 365 anytime on virtually any device, giving them increased control of domains and email routing worldwide.
Office 365 is also boosting workforce productivity. Employees find Office 365 easy to use, and the ability to use Office 365 anytime, anywhere is improving both the quality and quantity of our work. Overall, Office 365 has improved our efficiency by an estimated 10 percent.
Intuitive Email, Real-Time Collaboration
One of the key benefits of Office 365 is the business-class email users get with Outlook. Employees find Outlook very intuitive and easy to use. They can quickly find the capabilities they’re looking for, reducing the time they spend managing their email and freeing up time to focus on the business. And because we now have a unified communication platform, employees can use the global address book, calendaring, and contacts to quickly identify and communicate with anyone in the company.
Lync Online is also proving to be a great asset to our company. Employees are sharing their screens and collaborating on documents using web-based video conferences, thereby improving their quality of work. The “presence” feature within Lync Online allows them to connect and schedule impromptu meetings, and employees like being able to see when colleagues are available for a phone call or a chat. Not only does that save time, but it’s also changing the way we communicate. Rather than sending a lot of email back and forth, employees are increasingly opting for the fast, direct communication that’s possible with Lync.
As we continue our transition to the cloud, we plan to roll out additional components of Office 365 including SharePoint Online. Already, one thing is certain: Office 365 offers great value and provides us with the familiar and fully featured capabilities we need. It’s clearly helping us to achieve our goal of a connected and productive global workforce.
